Giving Access to Your Guests

Now that your event is set up, you’re ready to share it with your guests. Here’s how.


What Guests Need to Do

Step 1: Connect to Your Local Wi-Fi Network

Guests must connect their device (smartphone, tablet, computer) to your local Wi-Fi network — the same network your DVOX equipment is connected to.

ℹ️

This is typically your venue's guest Wi-Fi network. The DVOX unit must be whitelisted on this network to be accessible.

Step 2: Open a Web Browser

Guests should:

  • Open any web browser (Chrome, Safari, Firefox, Edge)
  • Navigate to dvox.live OR click your event URL

Step 3: Select Your Event

If browsing dvox.live directly:

  1. The homepage shows available events
  2. Guest finds and taps your event
  3. Guest sees available streams

If using the direct URL:

  • Guest clicks the link you provided
  • Skips straight to your event page

Step 4: Select a Stream and Listen

  1. Guest sees all available streams (audio feeds)
  2. Taps the stream they want to listen to
  3. Audio playback begins
  4. Guest can adjust volume and pause/resume as needed

Methods to Share Your Event

Method 1: Direct URL

Best for: Intimate events, email distribution, direct sharing

The simplest method:

  1. Copy your event URL from the Event Manager:

    • URL format: https://dvox.live/event.php?code=XXXXX
  2. Share via:

    • Email — Send the URL in an email to attendees
    • Text Message — Send SMS with the URL
    • Messaging Apps — WhatsApp, Telegram, etc.
    • Event Invitations — Include in calendar invites

The URL works on any device with a web browser, regardless of event visibility setting.

Method 2: QR Code

Best for: Signage, printed materials, large events

  1. Generate a QR code for your event URL:

    • Use any QR code generator (Google, QR Code Generator, etc.)
    • Input: Your event URL
    • Output: QR code image
  2. Display the QR code via:

    • Printed Posters — In lobby or common areas
    • Digital Displays — Screens around your venue
    • Programs/Agendas — Printed materials
    • Signage — At entry points or registration
  3. Guests simply:

    • Open camera app
    • Point at QR code
    • Tap the link that appears

Method 3: Browse dvox.live Directly

Best for: Public events, wider audience discovery

If your event is set to Public visibility:

  1. Guests navigate to dvox.live in their browser
  2. They see several options:

Option A: Search

  • Search for your event by name or keywords
  • Results show all matching events

Option B: Nearby Events

  • Tap location icon (requires location sharing enabled)
  • See events at their current location
  • Select your event from the list

Option C: All Events

  • View list of all currently active public events
  • Browse and select your event

Option D: Language Selection

  • Interface available in multiple languages
  • Guest can change language at bottom of page

Complete Guest Journey

Scenario: Large conference event

PLANNING PHASE:
1. You create event in DVOX Manager
2. You customize streams and settings
3. You set event to Public visibility
4. You generate QR code
5. You display QR code on venue signage

EVENT DAY:
1. Guests arrive and connect to venue Wi-Fi
2. Guests scan QR code with phone camera
3. Link opens dvox.live/event directly
4. Guest sees event page with available streams
5. Guest taps "Main Hall" stream
6. Audio playback begins
7. Guest can adjust volume, pause, switch streams

Pre-Event Communication

Send guests the following information:

Event URL (or QR code image) ✓ Wi-Fi network name (SSID) ✓ Any Wi-Fi password (if required) ✓ Event start/end timesAvailable stream namesSimple instructions:

  • Connect to Wi-Fi
  • Open browser to dvox.live or click event link
  • Select stream and enjoy

AUDIO STREAMING INSTRUCTIONS

Join us at [Event Name]!

To listen to live audio:

1. Connect your phone/device to Wi-Fi:
   Network: "[Guest Wi-Fi Name]"
   Password: [if applicable]

2. Open your web browser and go to:
   dvox.live/event.php?code=XXXXX

   OR scan this QR code: [QR CODE IMAGE]

3. Select the stream you want to listen to

4. Enjoy! Adjust volume as needed.

Troubleshooting for Guests

“I Can’t Find the Wi-Fi Network”

⚠️

- The DVOX unit must be whitelisted on your venue's guest network - Ask IT staff to verify the Wi-Fi network is broadcasting - Try connecting to alternative networks (5GHz if available)

“The Page Won’t Load”

  • Ensure device is connected to your venue’s local network
  • Try opening a different website first (to test internet connectivity)
  • Clear browser cache and cookies
  • Try a different browser
  • Wait a few moments and refresh

“I Hear No Audio”

  • Check device volume isn’t muted
  • Verify headphones/speakers are connected properly
  • Try a different stream
  • Try a different device if available
  • Ensure adequate Wi-Fi signal strength

“The Event Isn’t Listed on dvox.live”

⚠️

If event is set to **Public**: - Verify event dates include today's date - Check event visibility setting in Event Manager - Wait a few minutes for dvox.live to update If event is **Private**: - Use the direct URL instead - Direct URL works regardless of visibility

Best Practices

Test before the event — Have a colleague test the URL and QR code ✓ Multiple distribution methods — Use URL AND QR code for redundancy ✓ Clear signage — Make QR codes large and visible ✓ Simple instructions — Keep guest directions simple ✓ Network monitoring — Check Wi-Fi coverage in all event areas ✓ Support staff ready — Train someone to help guests with tech issues


Performance Considerations

For large numbers of concurrent listeners:

  • Bandwidth: Allocate at least 3-5 Mbps per listener
  • Wi-Fi capacity: Ensure venue Wi-Fi can handle expected attendees
  • Network prioritization: Enable QoS/VoIP prioritization if available
  • Guest network isolation: Keep guest network separate from internal network

After your event, check the [Reports section](/reports/) to see how many guests accessed your streams and for how long they listened.
